1. Privacy commitment
Alpha Kilo respects privacy and processes personal information in accordance with the Protection of Personal Information Act 4 of 2013, the Promotion of Access to Information Act 2 of 2000 and other applicable South African laws. This policy explains how Alpha Kilo collects, uses, stores, shares and protects personal information.

This policy applies to website visitors, prospective clients, clients, suppliers, service providers, job applicants, employees, contractors, security officers, site contacts, visitors to client premises where Alpha Kilo operates, complainants, witnesses, emergency contacts, public authorities and other persons who interact with Alpha Kilo.
3. Personal information Alpha Kilo may process
Depending on the relationship and purpose, Alpha Kilo may process:
- identity information, including name, surname, identity number, passport number, date of birth, nationality and PSIRA details where relevant;
- contact information, including phone number, email address, postal address and physical address;
- client and supplier information, including company names, registration numbers, VAT details, purchase order details, payment information and authorised representatives;
- employment and recruitment information, including CVs, qualifications, references, work history, training records, background checks, PSIRA registration, disciplinary information and payroll information;
- site and operational information, including visitor logs, access records, incident reports, occurrence book entries, duty rosters, patrol records, control-room records, emergency reports and client instructions;
- images, video, CCTV footage or access-control records where Alpha Kilo operates, administers or receives those records under a client mandate;
- communications, including emails, calls, forms, complaints, service requests and proposal correspondence;
- website and technical information, including device data, browser information, cookies, analytics information and IP address where used by the website.
4. Sources of personal information
Alpha Kilo may collect personal information directly from the data subject, from clients, employers, site visitors, suppliers, regulators, public records, recruitment platforms, references, authorised background-check providers, website forms and operational records generated during service delivery.
5. Purposes of processing
Alpha Kilo processes personal information to:
- respond to enquiries and prepare quotations;
- assess site-security requirements and deliver contracted security services;
- manage access control, visitor management, incident reporting and client communications;
- verify qualifications, PSIRA registration, work history and employment suitability;
- recruit, employ, train, deploy and manage personnel;
- administer contracts, invoices, payments, procurement and supplier relationships;
- comply with PSIRA, tax, labour, occupational health and safety, COIDA, B-BBEE, company law and other statutory obligations;
- prevent, detect, investigate and report security incidents, misconduct, fraud, threats or unlawful conduct;
- manage complaints, claims, audits, insurance and dispute resolution;
- improve Alpha Kilo's services, website, operations and client reporting.
6. Lawful basis under POPIA
Alpha Kilo processes personal information where processing is lawful and reasonable, including where the processing is necessary to perform a contract, comply with a legal obligation, protect a legitimate interest, protect a right, obtain or provide a benefit to the data subject, or where consent is required and has been obtained.
7. Special personal information and children
Alpha Kilo does not intentionally collect special personal information or information of children unless required for a lawful operational, employment, statutory, safety, claims or client-mandated purpose and where a lawful ground exists.
8. Sharing of personal information
Alpha Kilo may share personal information with clients, payroll providers, banks, auditors, insurers, legal advisers, IT providers, training providers, background-check providers, regulators, PSIRA, SARS, the Compensation Fund, law-enforcement bodies, emergency services and other parties where necessary for a lawful purpose.
9. Cross-border transfers
Alpha Kilo will not intentionally transfer personal information outside South Africa unless there is a lawful basis and appropriate safeguards, such as a service-provider arrangement, legal requirement, consent, contractual protection or another permitted ground.
10. Security safeguards
Alpha Kilo applies reasonable technical and organisational measures to protect personal information against loss, unauthorised access, misuse, destruction, disclosure or alteration. These measures may include access controls, password protection, staff confidentiality duties, limited-access filing, supplier controls, incident escalation and secure retention/destruction practices.
11. Retention
Personal information is retained only for as long as reasonably required for the purpose collected, a lawful operational need, contractual requirements, statutory retention periods, audit requirements, claims, disputes or legitimate business recordkeeping.
12. Data subject rights
Subject to applicable law, a data subject may request confirmation of whether Alpha Kilo holds personal information about them, request access to that information, request correction or deletion of inaccurate or excessive information, object to processing where permitted, withdraw consent where processing is based on consent, and complain to the Information Regulator.
13. PAIA and POPIA requests
Requests for access to records or personal information must be submitted to the Information Officer using the prescribed PAIA Form 2 or a substantially corresponding request. Requests may be sent to admin@alphakilosec.co.za.
14. Cookies and website analytics
The website may use necessary cookies and analytics technologies to operate the website, understand usage and improve performance. Users may disable non-essential cookies through their browser settings where available.
15. Complaints
Privacy questions or complaints may be directed to Alpha Kilo at admin@alphakilosec.co.za. A person may also lodge a complaint with the Information Regulator of South Africa where they believe their personal information has been processed unlawfully.

Alpha Kilo may update this Privacy Policy from time to time. The latest version should be published on the website or made available on request.
